We are seeking a motivated Administrative Assistant to service our Management Team with great work ethic to join our dynamic team within the medical device space.
As the Management Administrative Assistant, you will play a crucial role in supporting our Management Team (CEO, VP of Operations, VP Sales, Director of Marketing, Director of Professional Education) in a variety of tasks including, but not limited to, travel plans, scheduling, email, phone calls, customer support, etc.
This position offers an exciting opportunity to contribute to the growth and success of our organization by assisting in the marketing, education, sales, and operations of our innovative solutions to healthcare providers.
This position will report to the VP of Operations.
Responsibilities :
- Assist Director of Marketing with travel plans for trade shows, general travel, etc.
- Assist with communication with Trade Show organizations and vendors associated with trade shows.
- Assist with maintaining marketing material levels.
- Assist with marketing supplies and materials organization.
:
- Coordinate program logistics, including venue selection, vendor management, travel arrangements, registration, and participant communications.
- Manage administrative tasks related to professional education programs, such as scheduling meetings, preparing agendas, etc.
- Maintain participant databases, registration records, and event attendance records, ensuring accurate and up-to-date information.
- Provide on-site support during educational events, ensuring smooth logistics, set-up, registration, AV support, and catering coordination.

- Develop a comprehensive understanding of Stratus Medical products.
- Proficient in utilizing CRM systems, sales tracking software, and Microsoft Office applications.
:
- Filing - Assist in warehouse from time to time to help move boxes (under 25 pounds) and assist with order processing and receiving.
- Assist with general office upkeep (trash, dishwasher, plant watering, etc.
) - Assist with company events from time to time - Answer main phone as needed and direct calls to appropriate department.
Average daily incoming calls are approx.
5-10.
- Complete expense reports on time, stay within budget, have fun, and learn something significant each quarter.
Complete training on required assigned QMS SOP's and other company policies and processes on a timely basis and follow those procedures during the course of employment.
- Follow all relevant Quality Management System processes assigned in the Training Matrix
Qualifications:
- A high school diploma or 2-year degree.
- At least three years of experience in an administrative support role.
- Excellent written and verbal communication skills.
- Strong organizational and project management skills with the ability to multitask and meet deadlines.
- Collaborative team player with excellent interpersonal skills.
- Relationship-building skills, with the ability to establish and maintain rapport with professionals and healthcare professionals.
- Experience with Microsoft Office applications required, including Outlook, Zoom, Teams, Outlook Calendar, etc.
Experience with CRM systems, PowerPoint, Adobe InDesign type programs a plus! - Self-motivated with a strong work ethic and the ability to work both independently and as part of a team.
- Willingness to travel locally for errands, such as supplies, meal runs for meetings, etc.

The check will bounce and the victim is left responsible.
